How to Choose a Healthcare MSP in New York

Three questions narrow this decision faster than any feature comparison.

First: how regulated are you, really? A six-physician dermatology practice and a multi-site ASC operator are both HIPAA-bound, but the actual compliance burden looks different. ASCs running surgical procedures with anesthesia equipment have higher uptime stakes and stricter Joint Commission overlap. Multi-state physician groups face the New York SHIELD Act on top of HIPAA. PE-backed healthcare platforms add NYDFS Cybersecurity Regulation exposure for any portfolio company with financial services connections. Match the MSP’s compliance documentation to your actual exposure, not the marketing language on their homepage.

Second: what’s the scale of your in-house IT? If you have zero in-house technology staff, you need a fully managed model — full-service MSPs like Anatomy IT, Dataprise, or Medicus IT. If you have an internal IT director who needs strategic backup, look at co-managed-first providers like Exigent or Power Consulting. The wrong fit here creates expensive overlap or expensive gaps.

Third: how much do you need them within driving distance? Practices running primarily on cloud workspaces can work with any geography. Practices with on-premises infrastructure, on-site clinical equipment, or PACS/imaging modalities benefit meaningfully from a same-day on-site response capability. Things Buyers Ask Before Picking a Healthcare MSP

Yes, and it’s not negotiable. Per HHS guidance, any MSP that creates, receives, maintains, or transmits protected health information on behalf of a covered entity is a business associate and must execute a written BAA before any PHI changes hands. If an MSP is hesitant or vague about the BAA process, that’s a disqualifier. Period.
Around $125 to $250 per user per month for full-service managed IT in the NY metro, depending on practice size, compliance posture, and whether 24/7 SOC monitoring is included. PE-backed multi-site groups often negotiate enterprise rates below that range. Small single-location practices sometimes pay above it on a per-user basis because of minimum service thresholds. Most providers won’t publish pricing. Ask for a needs assessment first. Anyone quoting a flat number before understanding your environment is selling you a package, not a fit.
Three signals. Dedicated vertical page with real content beyond a landing-page bullet. Named compliance certifications, including SOC 2 Type II, HITRUST, and HIPAA-trained engineering staff with documented certification programs. And client references in clinical contexts they’ll let you call. If the MSP can’t produce all three, they’re a general MSP with a checkbox, not a healthcare specialist.
It can lower it meaningfully. Cyber insurance carriers underwriting healthcare orgs increasingly require specific controls, including multi-factor authentication, endpoint detection and response, documented incident response plans, and BAAs with all vendors. MSPs that align their stack to carrier requirements help practices qualify for better rates or reinstate coverage after a denial. Ask any MSP you’re evaluating which carriers they’ve worked with on renewal evidence.
Usually yes if the underlying issue is structural (poor response time, missing compliance documentation, frequent service quality issues), but the switching cost is real. Plan on a 90-day transition window minimum. Healthcare practices often delay switching longer than they should because they fear downtime during cutover.
