How to Choose a Managed IT Provider for Higher Education

The choice depends on what your institution actually needs managed. That’s where most evaluation processes break down.

Start with your ERP, not the vendor list. If the pain point is Banner, Colleague, or Workday — implementation support, upgrades, or daily application operations — Ellucian or OculusIT is where to start. Both are purpose-built for this. A general MSP brought in to manage Banner will spend the first year learning what Banner actually does.

If you need full IT outsourcing, weigh institutional depth. Where an outside team runs day-to-day operations, CampusWorks has built the deepest institutional knowledge in this model over 25 years, and its longer-term engagement structure is more aligned to how academic procurement actually works.

If you want breadth plus commercial scale, look at Buchanan. Institutions that need broad managed IT services but also want a larger vendor with commercial enterprise stability get that combination from Buchanan Technologies. The higher ed practice is real, even if it isn’t the whole business.

Use a contract vehicle if you qualify. Presidio’s MHEC contract vehicle is useful if you’re in a member state and want to skip competitive procurement for a cloud or data center engagement. It’s a narrow use case, but for institutions in those states, it removes real friction.

Then work through four questions before you shortlist. Does the provider have named university clients or case studies (not checkbox claims)? Have they supported your specific ERP platform? What’s their minimum engagement size? And is a co-managed model acceptable, or is full outsourcing the goal? CampusWorks and OculusIT do full outsourcing; MGT is more co-managed.

What Higher Ed IT Leaders Want to Know

Pricing varies widely based on scope. Full IT outsourcing for a small community college might run $500K to $1.5M annually. Larger universities with more complex environments often see multi-year contracts in the $3M to $10M+ range. ERP-specific managed services, like a Banner hosting and support contract, are scoped separately and can run $150K to $500K depending on user count and service level. Published pricing is rare, so expect to request a proposal based on your specific environment.
Institutional knowledge and ERP fluency. A general MSP has to learn what a Banner database is, what a registrar does, what FERPA requires, and why the network load spikes during drop/add. A higher-ed specialist already knows all of that. For day-to-day helpdesk and network monitoring, a strong generalist often works fine. For ERP support, academic-calendar-aware capacity planning, or a CIO-as-a-service engagement, specialists like CampusWorks and OculusIT have a real structural advantage.
Most do. ERP managed services agreements typically run 3 to 5 years. Full IT outsourcing engagements, like the model CampusWorks uses, often run 5 to 10 years. That’s normal in higher education, where transition costs are high and academic budget cycles don’t reward constant vendor switching. Before signing anything multi-year, confirm the contract includes service level agreements with defined remediation timelines and termination provisions.
It’s a yellow flag, not a red one. Clutch requires clients to participate in verified phone interviews, which enterprise-focused providers serving fewer large clients may not prioritize. Several providers on this list lack confirmed Clutch data for that reason. We apply a scoring penalty for Clutch absence in our Trust Score model, but absence alone doesn’t eliminate a provider from consideration.
FERPA is the baseline: all student records carry federal privacy requirements. Institutions handling Title IV financial aid also face GLBA (Gramm-Leach-Bliley Act) requirements governing the security of student financial data. Research universities may deal with CMMC, export controls, or NIH data security requirements on federal grants. Any provider being evaluated for higher ed work should be able to speak directly to FERPA and GLBA compliance documentation, at minimum.
